What documents are required to export machinery from India to the EU?

Answer

Machinery placed on the EU market must satisfy the essential health and safety requirements of the Machinery Regulation, and the paperwork is what a customs officer or market surveillance authority actually asks for. The set is the technical file, the EU declaration of conformity, the instructions in the language of the destination Member State and the CE marking, with a notified body involved for the higher-risk categories listed in the regulation.

What has to be done

  • Compile the technical file: risk assessment, drawings, calculations, test reports and the list of harmonised standards applied.
  • Sign the EU declaration of conformity and keep it with the machine for ten years.
  • Supply the instructions for use and assembly in the official language of the Member State of destination, not English only.
  • For the high-risk categories listed in Annex I, engage a notified body before placing on the market; self-assessment is not available there.
  • Partly completed machinery ships with a declaration of incorporation and assembly instructions instead of a declaration of conformity.
